What can groupings be used for?
In several processes such as procurement payments and accounting, values are not represented at a transactional level, but a sum or grouping of these items is made to generate a value that encompasses all the detail. This is why it is necessary, according to the criteria defined by the user, to consolidate the transactions in groups that allow the comparison and later reconciliation with another source of information.
Groupings allow you to create the display of grouped source information without creating a completely new source, thus keeping the transactionality of the source and its grouped version in parallel. This is especially valuable for sources that must be reconciled against one source in a transactional manner and against another in a grouped manner.
How to create a grouping?
Step 1. The Group sources functionality can be found when viewing the source table at the bottom left. Click the "Group Source" button.
Step 2. In the new view you will be able to select in the upper part the Reconcilable Group you want to use from the source and you will be able to assign the name you want to the grouping (Simetrik assigns by default the name "GROUPED Source. dd/mm/yyyy").
All groupings will initially be created as NON-CUMULATIVE. To understand how cumulative groupings work see section "Cumulative Groupings".
Step 3. Similar to a pivot table, to create the grouping display you can select the grouping criteria on the right side and the values you want to display. When the grouping is generated, it will be automatically saved. And it can be updated using the "Update Grouping" button on the lower right side.
Keep in mind that Simetrik manages databases by columns, which means that in this option you will only be able to group by columns and not by rows and columns.
Step 4 (Optional). The groupings created can be used in a single reconciliation, and when you do so, you will not be able to modify the grouping structure.
In the event that a grouping is used in a completed reconciliation, it will be reported via a process notification.
Tips
1. Note that if you change the formatting of a column in the original source, you will have to delete it from this section of your grouping, click update, and drag the field again to make the change take effect.
2. Within the values in the grouping you will be able to apply the following operations: Sum, count, minimum, maximum, average, variance, standard variance, deviation, standard deviation, median, and mode.
Additional functions in a grouping Filters
Filters: Within the groupings that are created, you can filter the columns by the criteria you want and you can delete all the filters you have applied using the button highlighted in the image below.
Hide columns: In case you do not want to display any of the columns you have selected, you can hide them using the button highlighted in the image below.
Transformation Columns: Using the button highlighted in the image below, you can add transformation columns to your groupings.
Descargar: Podrás descargar las agrupaciones que realices teniendo en cuenta los filtros y las transformaciones que hayas hecho, en cualquiera de los siguientes formatos: CSV, XLS, XLSX, TXT.
Shared use: Here you will be able to see in which other sections of the application you have used the grouping and you will be able to see if it is available or if it has already been blocked by any reconciliation performed where it has been used.
